We declare that as the controller of your personal data, we comply with all legal obligations required by applicable legislation, especially the Personal Data Protection Act and GDPR. Therefore, we commit to the following:
•We will process your personal data based on a valid legal reason, primarily legitimate interest, contract performance, legal obligation (statutory), or granted consent.
•We fulfill our information obligation under Article 13 of the GDPR before we begin processing your personal data.
•We will support and assist you in exercising your rights under the Personal Data Protection Act and GDPR.
We process the personal data you provide to us for the following reasons (to fulfill these purposes):
We process your personal data (name, surname, date and place of birth, email, phone) to fulfill contracts for consultancy services under specific customer conditions.
At some of our training, consulting events, or exams, we may take photographs or record videos. These are used in promotional materials and on our website, or to meet legal obligations when implementing projects funded by the ESF. Participant names are not included unless used as a reference based on consent. If you do not wish to appear in these records, please inform us using the contact information provided before the event.
We use your personal data (email, name), as well as your email interaction (clicks and open times), for direct marketing purposes—sending commercial communications. If you are our customer, we do this under legitimate interest, assuming you are interested in our news and tips regarding education, exams, or consulting. This will continue for 3 years from your last order.
If you are not our customer, we will send newsletters only based on your consent, valid for 3 years from the date given. You may withdraw your consent at any time using the unsubscribe link in any email.
We need your personal data (billing information, email, phone) to fulfill contracts (e.g., for creating websites or other services).
If you are our customer, we need your personal data (billing details) to comply with legal obligations regarding the issuance and maintenance of tax documents.
We retain your personal data for the duration of statutory limitation periods unless the law requires a longer retention period or specified otherwise. In the case of services carried out with ESF funding, personal data will be archived for 10 years from the project’s completion.
While browsing our website, we record your IP address, the length of your visit, and the page from which you arrived. We protect your personal data to the maximum possible extent using modern technologies that correspond to the level of technical development. We treat it as if it were our own. We have implemented and maintain all possible (currently known) technical and organizational measures to prevent the misuse, damage, or destruction of your personal data.
Your personal data is accessible to our employees and collaborators, who are bound by confidentiality and trained in the security of personal data processing.
Most processing tasks are handled internally without the need for third parties.
For specific processing operations that we cannot handle in-house, we use the services of specialized processors compliant with GDPR.
In the future, we may decide to use other applications or processors to facilitate and improve processing. We assure you that we will always respect privacy principles when choosing such processors and demand at least the same level of security and quality in processing as we do ourselves.
We process data exclusively within the European Union or in countries that ensure adequate protection based on decisions by the European Commission. We use U.S. services and applications based on the EU-U.S. Privacy shield agreement.
You have several rights concerning the protection of your personal data. If you wish to exercise any of these rights, please contact us via email at info@prolus.cz.
You have the right to information, which is fulfilled through this privacy policy.
You may request access to your data at any time, and we will provide documentation within 30 days on what data we process and why.
If you find your personal data outdated or incomplete, you have the right to update and amend it.
You may request to restrict processing if you believe we are processing inaccurate data, or if the processing is unlawful but you don’t want all the data deleted, or if you’ve raised an objection to the processing.
You may limit the scope of data or purposes of processing (e.g., unsubscribing from newsletters limits the purpose of processing for sending commercial messages).
Right to Erasure (Right to be Forgotten)
You have the right to erasure (to be forgotten). If you wish, we will delete all your personal data from our system and those of any third-party processors and backups. The process takes 30 days.
In some cases, we are bound by legal obligations, such as retaining tax documents for a statutory period. In such cases, we will delete all data not subject to legal obligations. We will inform you by email when the erasure is complete.
Complaint to the Data Protection Authority
If you believe we are not handling your data lawfully, you have the right to file a complaint with the Data Protection Authority. We would appreciate it if you could inform us first to address the issue and correct any mistakes.
Unsubscribing from Newsletters and Commercial Communications
We send emails with inspiration, articles, products, or services to you based on our legitimate interest if you are our customer.
If you are not yet a customer, we only send them based on your consent. In both cases, you can unsubscribe using the link included in every email.
We assure you that our employees and collaborators processing your personal data are bound by confidentiality and will not disclose your personal data or security measures, even after our contractual relationship ends. Without your consent, your data will not be disclosed to any third party.
